QuickBooks

Connect QuickBooks Online and use the invoices that Eigenn imports as issued-invoice actuals in a model.

The QuickBooks connector gives a model invoice actuals. Eigenn imports your invoices from QuickBooks Online. A model variable can then read the issued invoice amount or the issued invoice count for each period.

Use it when you bill customers in QuickBooks and want revenue rows to show what you invoiced.

1. Connect QuickBooks Online

  1. Go to Marketplace.
  2. Open the QuickBooks Online card.
  3. Click Install.
  4. In the window that opens, sign in to QuickBooks and approve access.

2. Let Eigenn import invoices

Eigenn syncs each connected accounting app every 6 hours. Each sync imports customers, then invoices, then payments.

You do not create a QuickBooks source on the Data page. When you select the QuickBooks card in Data sources, the wizard shows No setup needed. Click Done.

3. Link invoice actuals to a variable

  1. Open the model and click Model settings → Data sources.
  2. Under Actual data, select quickbooks in the provider list.
  3. Select Issued invoice amount or Issued invoice count.
  4. Select a variable.
  5. Click Attach actuals.

To add rows for every provider at one time, click Import actuals above the grid. Eigenn adds the rows "Issued invoices (quickbooks)" and "Issued invoices (quickbooks) count".

The provider list shows quickbooks only after Eigenn imports at least one QuickBooks invoice with an amount and an issue date.

4. How Eigenn calculates the values

RuleResult
PeriodEach invoice counts in the period that contains its issue date.
AmountThe sum of the invoice totals from QuickBooks.
CountThe number of invoices.
StatusEigenn does not filter by invoice status.
Empty periodAn actual period with no invoices shows 0.
Forecast periodInvoice actuals do not fill forecast periods.

Values show only in actual periods, up to the model's Last actual date. A model with no Last actual date shows no invoice actuals.

5. Refresh the values

New and changed invoices arrive with the next accounting sync. After an invoice import completes without errors, Eigenn updates the models that link quickbooks actuals.

To load the latest import yourself, use one of these controls:

  • Refresh actuals above the grid.
  • Re-apply imported actuals in Data sources. It does not start a sync with QuickBooks.

6. Limits

  • For planning, QuickBooks gives invoice actuals only. It does not give a P&L or a balance sheet.
  • The cash or accrual setting does not apply to invoice actuals.
  • Eigenn does not convert currencies for invoice actuals. Use one billing currency, or check the totals before you rely on them.
  • Imported invoices can be approximately 6 hours old.
